SENIOR COMMERCIAL MANAGER/ COMMERCIAL MANAGER /BID MANAGER
 

Bids and Procurement:

  • Creates, coordinates, and formats pre-qualification documents for the clients and develops supplier registration online.

  • Reviews the Request For Proposal (RFP) and prepares the project brief (i.e., BUA, GFA, program, required disciplines, etc.)

  • Prepares all required documents for the tender submission using InDesign for the potential project and client.

  • Develops preliminary program using MS Project when required.

  • Invites sub-consultants to submit fee proposals when required, track responses, and coordinate receipt to be incorporated into the client submission.

  • Modeling/drafting the financial proposal for each potential project to be reviewed by the Executive Director.

  • Coordinates the requirements with stakeholders and manages deadlines.

  • Responsible for creating, coordinating, and formatting both Financial and Technical Proposals.

  • Assists in managing the overall proposals action list in coordination with the Senior Management Team.

  • Writes and edits new content as and when required.

  • Ensures all documentation is consistent with the company’s branding guidelines.

  • Issues proposals to Clients before the Clients’ specific deadlines.

  • Preparing and compiling the responses to Post Tender Clarifications, attending the PTC meetings (as and when required) in coordination with the Executive Director and Senior Management.

  • Prepares simple fee proposals for potential projects and clients within the company templates.

  • Records all submitted tenders and proposals.
     

Contract Administration:

  • Reviews the principal contract provided by the client before forwarding it to the Executive Director for final checking.

  • Prepares and issues the Letter of Award/Sub-Consultancy Agreement to all selected sub-consultants in coordination with the Project Lead.

  • Organizes variation orders/change orders for all additional work in the project.

  • Ensures that all needed disciplines (sub-consultants) are being anticipated and negotiated for the awarded projects.

  • Responsible for negotiating sub-consultant’s proposals / quotations.

Commercial Responsibilities:

  • Managing the commercial department and assigning tasks to all team members.

  • Directly reporting to the Executive Director of the company daily.

  • Monitors and generates the project cash flows and ensures that all disciplines are within the project budget.

  • Responsible for reviewing and approving incoming and outgoing invoices for clients and sub-consultants.

  • Direct contact with the sub-consultants related to commercial matters.

  • Manages schedule of payment for both client and sub-consultants. Notifying the accounts team for stages that can be invoiced.

  • Supports all other departments with the commercial process and related issues.

  • Coordinates with the service provider to supply us with the needed resources to complete the project.

  • Coordinates with the broker for our insurance renewal and prepares the required documents (i.e., Professional Indemnity, Public Liability, Property All Risk, etc.)

  • Attends and prepares minutes of the meeting for a project update every two weeks.

  • Perform other duties as requested and delegated by the Executive Director and Senior Management Team.

Qualifications:

  • Bachelor’s Degree in Civil Engineering.

  • 10 to 15 years of engineering management experience.

  • Leadership skills, as well as the ability to work well within a team of other professionals.

  • Organizational, project management, and planning skills, including the ability to juggle multiple tasks.

  • Excellent computer skills and proficiency in Excel, Word, Visio, Ms. Project, InDesign, Outlook, and Access with a high level of communication skills both verbal and written.

  • Excellent interpersonal skills and a collaborative management style.
